If the Student has accumulated 4 or more fatigues at any given time then they are automatically issued with a Sunday Fatigue. So therefore the new system needs to automatically give the student a Sunday Fatigue. As the Sunday Fatigues are run through the school and not the house, the system will instead email Mr Macpherson telling him that the student has received a Sunday Fatigue so it can be entered into the Sunday Fatigue system.

To do this would require the system to have an online database. This online system would be a lot harder than the simpler system of just running it off the office computer but I believe would be much more efficient and beneficial to all of the people involved.Fields

List of tasks

List of Tasks
The tasks are currently divided among the the authoritative figure of the house. A prefect issues a fatigue by writing their name in the Fatigues book. If by thursday morning none of the people who are on fatigue have tried to get out of the fatigue then the fatigues are input into a word document by the Prefect In charge of fatigues. This document is then displayed on a board from thursday lunchtime. There is no record kept of the fatigues currently.
Therefore the new system needs to:
  • At the beginning of each week, remove the students who have done their fatigues from the list so the new students can be input.
  • Automatically create a document from a template with all of the week’s fatigues on it and the week it is for.
  • Print the document.
  • Put all of the fatigue information into a database or spreadsheet  for record purposes which can then be searched.
The New task list will be:
  1. Prefect in Charge of fatigues will then input the new fatigues into the system with the fatigue boy’s information
  2. On thursday morning, system automatically creates a document with which fatigues are to be run.
  3. Prints the Document.
  4. After Fatigues have been run, Prefect in Charge of Fatigues checks off the attendances and the system then updates the record with the new fatigues.

I have added the ID field as a primary field incase of the two people having the same name as well as for quick searching.

Investigation questions for Mr. Craig Macpherson
How would you describe your position at King's?
I am the Housemaster of Peart house which means each day I have pastoral care of approx. 125 and in charge of a 9 house staff as well as a Physical Education teacher.
What tasks are you responsible for within the house environment?
The Spiritual, Academic, Cultural, Sporting involvement and pastoral care of Peartonians as well as overseeing the punishment system.
How are these tasks currently being handled?
With a staff of 9 Staff members (tutors), each of the tutors is responsible for approx. 12/13 tutees for the spiritual, academic, cultural, sporting involvement and pastoral care of their charges with the overall responsibility resting with the Housemaster.
Who else is involved?
The 9 Tutors plus 10 prefects.
What are these people responsible for?
They’re responsible for the day to day running of the house, Mentoring the younger groups and preparing the house for any and all interhouse activities and discipline.
How efficient is the current system?
Efficient enough for the most part but is heavily dependent on the Prefect/Year 13 body.
Are these tasks computer based at any point?
Some of them are but the fatigue system is hand written.
How are these tasks carried out?
The Fatigues are written into the Fats book and published onto a board on Thursday mornings.
What information is inputted?
The Name of the Student, Misdemeanor and Prefect Issuing.
How is this information outputted?
they’re published onto a board each thursday morning for the house to see.
Would you like this system computerized?
The Fat System, Yes.
What information is to be inputted into the new system?
Same as the old system as well as the year group.
How many people are in this house?
approx. 125 students and 10 staff members.
how often are fatigues run?
They’re run each friday afternoon for a few hours, but sometimes run every second week if house activites intervene with several students commitment to attend.
How many people are on each fatigue per week?
approx. 5 - 10 on average but can be as few as 3 and as many as 20.
Who Issues these fatigues?
The House Prefects as well as the Staff members and the Housemaster.
How would you want this information accessed?
A computer program where you can simply select the year, student, and prefect issuing and enter the reason. I would store the Program on my PC or on one of the prefects in charge of Administrations’ laptops so the list can be printed out easily.
Why would you want this information computerized?
To see who is getting fats regularly as well as which prefects are issuing the fats.
Who would you want to access this information?
Mainly the Prefects but also myself so I can oversee the Fatigues.
What Operating System will the program need to be run on (Windows, Mac)?
The Majority of the school runs on Mac.

Definition - Nature of the Problem
Description of the Organisation 
Kingʼs College is an independent private school in Auckland, New Zealand. Within the college there at 11 house systems, each with itʼs own unique punishment systems. One of the houses, Peart House, is run by Mr C Macpherson. If a student has misbehaved they get a Fatigue which is a punishment usually involving manual labour. 
Methods Currently In Use 
The Fatigues are currently being entered and stored by manually through a Fatigues book. Each time a student misbehaves a House Prefect or House Staff Member write the name and year of the student to be punished as well as the reason and the person issuing the Fatigue. At the end of the week the Fatigues get entered into a Microsoft Word document manually and get printed off to be displayed on a board.

Origin and Form of the Data Used 
The Data (Name, year, Reason for fatigue and person issuing the fatigue) gets entered by the Prefect or Staff member issuing the Fatigue. The information written into a book of Fatigues.
